30% deposit on signature: $0
Quote valid for 30 days. A deposit paid on signature commits both parties.
Your client accepts it online, you invoice the deposit, then deliver the gallery, all in one place. The quote is waiting in your account.
A good quote prevents misunderstandings before the shoot, and becomes the basis for the contract and the invoice. Here's what it should show.
Your business name, address, email and, where your country requires it, your business or tax number. For the client: their name, address, and company details if it's a business.
Separate coverage, editing, options (album, second shooter, prints) and travel fees. State the hours on location and the number of photos delivered: it's what prevents the “I thought that was included” conversation.
Unit prices and subtotal, then any tax and the total. If you don't charge VAT or sales tax, say so in one line and show a single total.
State the deposit, often 30%, and when the balance is due. Make it clear whether the deposit is refundable, and under what conditions.
Thirty days is common. After that, your prices and availability may change, and the quote should say so.
The client's date and signature turn the quote into a mutual commitment. In Pelli, your client accepts it online, from their browser.
The template adapts to the type of shoot you pick above. What not to forget, job by job:
A package by coverage hours (prep, ceremony, reception), the number of photos delivered, options (second shooter, engagement session, album) and travel fees beyond a set radius. A 30% deposit secures the date.
A session fee with a set number of edited photos included, then a price per extra photo. For newborn sessions, allow for setup time and longer skin retouching.
Prices excluding tax, a number of people or hours, and above all a usage license line stating the media, duration and territory: businesses will ask for it.
A price per property based on size, the number of photos, options (drone, twilight shots) and a short delivery time: agents need the photos fast.
A price per product or per photo, the background, clipping paths and the formats the store needs. E-commerce usage rights go on a separate line.
Fashion, sports, food, pets: the principle is the same. Break down your time (on location, editing, preparation), then add what is specific to the job.
Not always, but it's strongly recommended: it sets the price, what's included and the terms before the shoot. Once the client accepts it, it records what both of you agreed to.
As long as you write on it: 30 days is common. After that, you're no longer bound by your prices or the proposed date.
That's your call, but write it down. Most photographers make the deposit non-refundable because it secures a date they turn other clients away for. Local consumer rules can limit this, so check what applies where you work.
Send it from Pelli: your client opens it in their browser, accepts it by typing their name and ticking the agreement box, and you're notified. You can then issue the deposit invoice straight from the signed quote.
No, unless you say so before preparing it, for example when it requires a site visit or a long meeting. In the vast majority of cases, a photographer's quote is free.
Quotes accepted online, signed contracts, proper invoices and delivery galleries: Pelli brings your whole client workflow together.
