Photo mini-sessions: choose a booking tool that fits your studio

Photo mini-sessions: choose a booking tool that fits your studio

For your photo mini-sessions, choose a tool that accounts for the time each family actually needs and makes booking understandable. Time slots are only part of the picture. Your offer, instructions, client follow-up and payment must also fit the way you work.

A mini-session takes more than the shooting time

Twenty minutes of photography do not always mean twenty minutes in your schedule. You need to welcome the family, answer a final question and prepare the setup for the next group.

Distinguish the duration advertised in your service from the buffer you need between sessions. That buffer makes the day more realistic and avoids relying on every participant arriving perfectly on time.

For example, a twenty-minute session followed by a ten-minute buffer gives start times of 9:00, 9:30 and 10:00. Your availability settings should reflect that organisation.

📅 Useful settings for a day of sessions

A suitable tool should let you define availability and add buffers. It should also account for breaks, blocked periods and the notice needed to prepare a booking.

With Pelli Ultra, you configure your booking schedules, buffers before or after appointments, advance notice and exceptional openings. You can offer mini-sessions on a specific day while keeping the preparation time you need.

If you already use a calendar for your business, check how its busy events are taken into account. Synchronisation should match the calendars and settings you have actually enabled.

Present the offer before suggesting a time

A family needs to understand what they are booking: duration, location, maximum number of participants and included photographs. Also explain how the images will be selected and when they will be delivered.

A service page can bring these answers together with representative images. Clients do not have to piece together your offer from a social post, private message and booking page.

On Pelli, you create your photography website with service pages and business-focused sections. With the Ultra plan, you also offer appointment booking: families discover your session, then request a time slot.

Booking a slot and paying a deposit are two stages

State the payment deadlines and methods, along with what confirms a booking in your process. The client should know what action is expected after their request.

On Pelli, clients request an available time slot through the booking form. You can then prepare a separate deposit invoice to request payment.

Explain these two stages in your instructions: the time-slot request, followed by the deposit payment. State when you confirm the booking so each family knows where they stand.

An example: a morning of studio portraits

You offer six twenty-minute sessions, starting every half-hour from 9:00 to 11:30. A break follows the last session; you do not turn it into an improvised extra slot.

The page describes one main outfit, the accepted number of participants and the eight included photographs. The message sent after the request repeats the time, address and next payment steps.

The day before, you review the client records and useful information. A family mentions a particular need: you can prepare to welcome them before they arrive.

After the sessions, each project continues towards selection and delivery. Booking becomes the start of an organised service rather than just a list of times.

✨ Continuity with your galleries matters too

A calendar is sometimes enough to allocate sessions. A business platform becomes useful when you also need to follow up with clients, prepare documents and deliver images.

Compare the journey after booking, not just the appearance of the calendar. Our article on booking within the client journey explores this connection between stages.

Frequently asked questions

How much buffer should you allow between photo mini-sessions?

It depends on your welcome process, setup and the changes needed between participants. Count this time separately from shooting, then reflect it in your schedule settings.

Can you open just one day for mini-sessions?

Yes. On Pelli Ultra, you define exceptional openings and blocked periods. These settings let you offer availability for a specific day of mini-sessions.
